The monetary benefit of company bike leasing is the fact that employees are free to use their company bike privately. Even private-only use is permitted. This monetary benefit is added to the employee’s taxable salary – at a very favorable flat rate of 0.25% of the gross list price.

Generally, any type of bike is suitable for use as a leased company bike – including classic models such as trekking and mountain bikes, racing bikes or city bikes as well as e-bikes (pedelecs), cargo bikes and recumbent bikes. S-pedelecs (e-bikes with motor assistance up to 45 km/h) can also be leased as company bicycles. However, since S-pedelecs are considered mopeds and therefore subject to different legal requirements than bicycles, S-pedelecs are excluded from bike leasing by many employers.
Within the framework of salary conversion, the employee receives a portion of their salary not as direct remuneration but as a benefit in kind. In our case, this benefit in kind comes in the form of the company bike provisioned to the employee. Since salary conversion reduces the taxable gross salary, taxes and social security contributions are also reduced.

When a company bike is leased, the monthly lease payments are considered business expenses, allowing employers entitled to deduct input tax to reclaim the VAT included in the lease payment from the conversion amount. If your employer offers bike leasing, perform these four simple steps to get your company bike:
1. Use the company code (employer code) you received as an eligible employee from your employer to register via portal.bikeleasing.de and receive your personal Bikeleasing user ID.
2. Visit your local bicycle dealer and choose the bike you want.
3. The bicycle dealer issues a lease request (requiring your personal Bikeleasing user ID).
4. When the lease request has been approved and your company bike is ready, pick it up from the dealership and start cycling.
The Bikeleasing user ID is an eight-digit code you receive when you as an employee register at our Bikeleasing portal and enter your employer’s company code. You need to present your Bikeleasing user ID to the dealer so that they can submit the lease application for your company bike.
Generally, you are free to go to any bike dealer that runs a retail store for bikes in Germany. Any dealer that runs such a retail store is free to register as a Bikeleasing partner dealer and to submit your lease request. Yes, you can. A reduced price also lowers the lease payments and insurance premiums. However, the monetary benefit – and thus the tax on the company bike – is calculated on the basis of manufacturer’s recommended retail price (RRP) rather than on the basis of the actual purchase price. Consequently, for bikes available at a strongly reduced price, this may impact the overall savings attained through the lease model.
Yes, the lease may include any accessories firmly or permanently attached to the company bike. Such accessories include mudguards, luggage racks and bike stands as well as trailers and child seats. Items such as bike helmets, biking apparel, etc., cannot be included in the lease. If you are not sure if a given item can be included in the lease, contact our customer service team. Please note: A bicycle lock with a minimum purchase price of € 48 needs to be included in any Bikeleasing lease.
Generally, employees may use multiple company bikes. In your specific case, it depends on what is defined in the Service Agreement concluded between your employer and Bikeleasing-Service.
E-bikes with pedal assistance up to a maximum speed of 45 km/h are called S-pedelecs. Formally, they are classed as mopeds rather than as bicycles. This is a crucial difference because different regulations apply to S-pedelecs than to their slower peers – the pedelecs without an “S”. When riding an S-pedelec, you are required by law to wear a helmet. A license plate and a corresponding driver’s license are mandatory for S-pedelecs. Bike paths are off limits for S-pedelecs. When it comes to company bike leasing, S-pedelecs are treated somewhat differently from other bicycles with or without pedal assistance. For instance, the monetary benefit for leased S-pedelecs is subject to the 0.25% rule – regardless of whether it is leased via salary conversion or as a perk for the employee. For S-pedelecs, the commute to work is taxed at 0.03% of the RRP.
To pick up your company bike from the bike dealer, you need a takeover code (or takeover confirmation). We will send this code to you – the company bike user – by e-mail as soon as we have received approval from your employer for the associated lease agreement. Please let your bicycle dealer know beforehand that you will pick up the company bike so that they can prepare it for collection.
Yes, generally, spouses and children may use an employee’s company bike. As a rule, the Transfer Agreement concluded between the employee and the employer defines whether family members (living in the same household) are allowed to ride the leased bike. Our insurance packages include coverage for contractually agreed family use.
Absolutely! The private use of company bikes constitutes a monetary benefit that is taxed. Fixed-rate taxation pursuant to the 0.25% rule expressly permits private use.
A Bikeleasing Individual Lease Agreement runs for 36 months. The applicable term is agreed in the framework leasing agreement concluded by your employer. At the end of the lease term, employees are usually offered the opportunity to take over their company bike at a favorable price.
In brief: At the end of the lease term, you can either take over the bike at an attractive price or you can return it and choose a new bike if you wish. About 12 weeks before the end of term of your lease agreement, we will send you a letter requesting that you return your company bike at the end of the contractual provisioning period. In this letter, we will likely inform you as an employee about the opportunity to purchase the company bike. This purchase offer (at a takeover price of 18% of the RRP) is usually given to every company bike user; however, it cannot be included in the agreement as a binding provision at the beginning of the lease because such a provision would contradict the pertinent provisions of the leasing regulations issued by the tax authorities.
If you decide not to keep your company bike at the end of the lease term, you need to return it to the issuing dealership in an orderly state and roadworthy condition at the end of the provisioning period. You are advised to make an appointment with the dealership so that they can slot in your visit and the bike return.
If you wish to take over your company bike after the end of the lease term, wait until about 12 weeks before the lease expires. As a rule, we will contact you and make you an attractive purchase offer. Please note that, due to the pertinent provisions of the leasing regulations issued by the tax authorities, we can give you this offer only at the end of the lease term.

If you, as an employee, leave the company during the lease term (to work for a different employer, for instance), there are several options:
- If your existing employer agrees, a buyout offer can be requested from the leasing company, giving you the opportunity to purchase the bike out of the agreement.
- The bike can be transferred to another employee for use.
- If both of these options are declined, your employer can make use of the employer indemnity insurance – provided that there is proof that an insured event has occurred.
If you, as an employee, go on parental leave (including maternity leave), the employer indemnity insurance offered by Bikeleasing-Service kicks in, giving you two options to choose from:
- Return of the bike: The lease agreement is terminated through the premature return of the bike.
- Reimbursement of lease payments: The lease payment total is reimbursed for up to a maximum of 18 months. The lease agreement is continued until the end of the lease term.
If an employee drops out due to illness, the employer indemnity insurance covers the monthly lease payments.
One reason for this is that the company bike belongs to the lessor until the end of the leasing term or the takeover. The lessor wants to ensure that its leased asset (the company bike) is adequately protected against theft. However, leasing the lock also has advantages for you as the user, because if the lock is part of the lease, you also save on the purchase price. In addition, even the best bicycle insurance will not cover theft if there is no theft protection.
Yes, shipping costs may apply when ordering online. These are added to the purchase price and paid via the monthly leasing rate. However, they are not included in the RRP and therefore have no effect on the redemption amount in the event of a purchase at the end of the leasing period (redemption amount = 18% of the RRP).
With regard to the bike lock, the same conditions apply to online retailers as to local bike dealers: no leasing request can be made without a lock. Whether this condition is met is checked by the respective online dealer when the order is placed. With some online dealers, a lock is automatically added to the shopping cart when the customer enters their personal Bikeleasing user ID on the online dealer's website.
We recommend that you keep the box until the end of the leasing term. If you do not wish to take over the bike at the end of the leasing term, a logistics company will collect the bike from you (the Bikeleasing-Service will provide the shipping label for this). The bike must be packed in a bike box ready for shipment. If the original box is no longer available, a local bike dealer may be able to help out with a box.
In this case, you as the employee are responsible for proper assembly. You will receive suitable instructions together with the bike. Accordingly, as an employee you are also liable for improper assembly and any resulting consequences.
If you are unsure about the assembly, you can have the bike assembled by a local bike dealer at your own expense. You can usually find cooperating service partners on the online retailer's website.
No, this information cannot yet be viewed in the Bikeleasing portal. Please ask your HR department.
No, the same conditions apply here as at your local bike dealer. Accessories cannot be added to the contract retrospectively if it is already active.
After dispatch, you have 14 calendar days (note: not working days!) to check the bike. If you discover a defect (missing accessories, damage, etc.), please contact the online retailer (not the Bikeleasing-Service) to claim the defect as a warranty claim. Both you as the employee and the online retailer must then report this to the Bikeleasing-Service immediately.
As soon as the notification has been received by the Bikeleasing-Service from both parties, the takeover will not yet be confirmed and the contract will not be settled.
In this case, you should contact the online retailer in good time to postpone the shipment. If there are complications during shipping: If the carrier/retailer is at fault, they are liable for the costs. All other cases will be clarified between the retailer and the employee.
If the bike is returned as part of an insured event covered by the default insurance, you can return the bike to a stationary Bikleasing partner dealer or we can collect it from you, depending on whether you purchased it online or via a stationary dealer.
If you decide not to take over the bike at the end of the lease term, it will be picked up at your place by a logistics company. You will receive a shipping label from Bikeleasing-Service service for this purpose.
The bicycle must be packed for shipment in suitable cardboard packaging complete with all associated documents and accessories leased in a proper and functional condition for collection. If you do not keep to the agreed collection date, you must return the complete bike to us at your own expense and risk.
Presumably, yes. As with local Bikeleasing-Service partner dealers, you will usually receive a takeover offer shortly before the end of the lease term and you can take over the bike against payment of a transfer fee.
In theory, wear and tear repairs can be carried out at any Bikeleasing-Service partner dealership. In practice, however, bike dealers may refuse to carry out wear and tear repairs, e.g. because they may not have the necessary spare parts in stock. Some manufacturers, such as Canyon, provide a list of all the dealers they collaborate with on their website.
Theoretically, you can have inspections done at any Bikeleasing-Service partner dealership. In practice, however, bike dealers may refuse to perform the inspection. Some manufacturers, such as Canyon, provide a list of all bike dealers with whom they collaborate on their website.
If you return the bike without contacting the online dealer, you will have to bear the costs yourself. We therefore recommend that you always contact the online retailer first and clarify the return with them.
If there is damage to the bike that is covered by the warranty, the online dealer bears the costs for shipping or collection of the bike.
If you confirm delivery within the specified time (14 calendar days after dispatch), the agreement will be activated. It is generally no longer possible to return the bike after you have submitted the takeover code. If you discover a flaw or defect after the agreement has been activated, please contact the online dealer directly. They will then check whether this is a warranty claim.
If you ordered your company bike online and you do not enter the takeover code in the Bikeleasing-Service portal within the specified time, the agreement will be activated automatically. This ensures that the insurance cover takes effect no later than 14 days after dispatch.
If you ordered online, the takeover code can only be entered by yourself as an employee. That’s because it must be entered via your personal account in the Bikeleasing-Service portal.
If the bike is free of flaws or defects, confirm takeover by entering the takeover code via the Bikeleasing-Service portal. This step activates the lease agreement. If you do not confirm takeover within the specified time period, the agreement is activated automatically.
If you discover any flaw or defect, you can file a warranty claim for the bike with the online dealer. Please contact the online dealer directly in any such case.
You can find an overview of our online partner dealers from whom you can order your Bikeleasing company bike on our website. Please note that your employer must have agreed to the online trading option. Are you unsure? Then it's best to ask your HR department directly.
Contact your online dealer so that the case can be checked. If it is a warranty claim, the bike must be sent in or taken to a local service partner collaborating with the online dealer. Note: This service partner does not need to be a Bikeleasing partner dealer. If the agreement has to be rescinded, the online dealer shall inform the Bikeleasing-Service and our legal department will look into the case.

Via the employer portal, Bikeleasing customers can digitally manage the Individual Lease Agreements of their employees.
Bikeleasing dealers can use the dealer portal for the digital handling of all processes related to leased bikes. The dealer portal provides the following functions for bike leasing dealers: creation and uploading of new lease requests, overview of bikes leased via the dealer, management/evaluation of contracts, transmission of billing documents, creation/filing of damage reports, documentation of UVV (accident prevention) visual inspections.
You will receive the company code (also known as employer code) from your employer, provided that they are a Bikeleasing customers and you, as an employee, are eligible to lease a company bike.

Even though you as a self-employed person do not have the option of financing the bike lease via salary conversion, you are free to lease a company bike via Bikeleasing-Service and use the bike privately.

As a self-employed person, you do not have to pay tax on the private use of your company bike. Self-employed persons can claim their monthly bike lease payments plus maintenance costs as business expenses. The Service Agreement (DLV) is concluded between die employer and Bikeleasing-Service. It defines the lease parameters the employer specifies for their employees. These include provisions on which insurance policies must or may be taken out, how many bikes an employee may lease, from which dealers the bike should be acquired, as well as the minimum and maximum price of the bike. Another key element of the Service Agreement is that Bikeleasing-Service exempts the employer from the leasing company’s right to sell.
The Framework Lease Agreement (RLV) is concluded between the employer and the leasing company. It is the basis for the collaboration of the employer (the lessee) with Bikeleasing-Service (the service provider) and the leasing company (the lessor). The Framework Lease Agreement stipulates the general conditions that apply to all Individual Lease Agreements. These include the terms of agreements, terms of payment, leasing formalities, insurance and data privacy. The prerequisite for the conclusion of a Framework Lease Agreement is a positive credit rating.
The Individual Lease Agreement is concluded separately for each company bike between the employer (lessee) and the leasing company (lessor). It includes information on the bike model leased and the price of the company bike.
In a company bike lease, the employer rather than the employee (the company bike user) is the lessee. The Transfer Agreement is concluded as a complement to the employment contract between the employer and the employee. It defines the terms and conditions under which the employer provides the company bike to the employee for use. A major item included in the Transfer Agreement is the monthly salary conversion amount.
The takeover code constitutes a power of attorney for collecting the bike. This code is issued by Bikeleasing-Service separately for each bike. Sent to the employee by e-mail, this code must be presented by the employee when picking up the bike at the dealership. By exchanging the takeover code, the dealer and the employer confirm that the company bike is free of defects. The dealer forwards this code to Bikeleasing-Service. In some cases, the employee’s agreement may require a written takeover confirmation rather than the takeover code. The date of handover is recorded in the dealership portal, indicating the time of commencement of insurance coverage as well as the commencement of the lease term.
The Bikeleasing user ID is an eight-digit code you as an employee need for the lease request at the dealership. To receive your user ID, register at portal.bikeleasing.de. To do so, you need the company code (also called employer code) each employer receives when taking advantage of the Bikeleasing offering. Following registration, you will receive your personal user ID by e-mail. Yes, in addition to the mandatory comprehensive coverage of our comfort insurance, we offer company bike users a wear and tear insurance that covers for wear and tear of the following parts: battery, chains/toothed belts, brake pads, brake fluid, grips/handlebar tape, chain wheel/cassette, brake disks, sprockets, pedals, gear and brake cables including housing, gear hub service including lubricant, bearings of forks, shocks, dropper post, steering head and pedals, incl. service.
Generally, as a company bike user, the employee is responsible for maintenance and repair of the company bike. If you decide to take out our optional Bikeleasing inspection package, you are entitled to two inspections (as per service catalog) that include: general inspection: frame, gear shift, chain, belt, handlebars, brakes, seat, suspension, accessories, lighting system, bottom bracket, wheels, battery, motor, service update for e-bikes.
Bikeleasing-Service offers different kinds of insurance policies to company bike users (valid worldwide, no deductible, no waiting period) plus an inspection service. The Bikeleasing comfort insurance is a mandatory part of any lease agreement, while the Bikeleasing wear and tear insurance and the inspection package (depending on what has been agreed upon with the employer) are optional add-ons.
No, the choice of insurance is part of the Individual Lease Agreement. It cannot be changed once the company bike has been picked up from the dealership.
The monthly insurance premium amount due for your company bike depends on the gross purchase price of the bike leased. For instance, the mandatory comfort insurance starts at € 5.90 net per month for bikes that cost up to € 1,500. The Bikeleasing comfort insurance provides coverage for theft, accidental damage and vandalism plus a mobility guarantee, ensuring that the transportation of unroadworthy bikes, e-bikes, luggage and trailers to the to the nearest workshop or to the destination or home, plus the costs of a rental bike, are covered with up to € 150 per insured event. For user-organized transportation, indemnity is limited to a maximum of € 50 per insured event. For the duration of the repair, the insurance also covers the cost of a rental bike for a maximum of 14 days up to a daily charge of € 25 (i.e., up to a total of € 350). In total, the mobility guarantee provides coverage for up to € 500 per claim.
Generally, in the case of company bike leasing financed via salary conversion, the insurance premiums are included in the conversion rate or the monthly lease payment and are borne by the employee. Whether your employer bears a share of the insurance costs through a subsidy or even covers them completely depends on what is stipulated in the Service Agreement. Therefore, the situation differs from employer to employer.
Insurance coverage in the event of theft requires you to lock the frame of your company bicycle with a high-quality brand-name lock to a firmly anchored object (e.g. bicycle stand, lamp-post, traffic sign) in such a way that the bike cannot easily be stolen. However, this does not apply as long as the bicycle is under supervision or in a room that is enclosed and locked from all sides and is not accessible to the public or used as a common room or communal stand.
If your company bike gets stolen, you need to report the theft to the police (within five days). Next, report the theft to us via the Bikeleasing portal at portal.bikeleasing.de. Please keep your Bikeleasing insurance card handy. We will check your insurance or theft report and the documents you submit. Following approval of your insurance claim, your existing Individual Insurance Agreement is dissolved. If you do not want a new Bikeleasing company bike, you do not have to anything else.
Would you like to continue riding a Bikeleasing company bike? You can choose a new bike or e-bike as a company bike and conclude a new Individual Lease Agreement as soon as the insurance case is closed. You are completely flexible in your choice, both in terms of bike dealer, bike model and accessories as well as your insurance options.
For your new company bike, we will bear 50% of the monthly lease payments (excluding ancillary lease-related costs) that you have already made for your previous Bikeleasing company bike, in addition to the purchase price of the new bike, thus reducing the purchase price accordingly. The prerequisite is that you submit the new lease request within twelve months after settlement of the claim and that the gross purchase price of the new service bike is at least 70% of the purchase price of the stolen or destroyed bike.
No. If your Bikeleasing company bike is stolen or destroyed, you can decide yourself whether you want to choose a new company bike. The existing lease agreement will be dissolved. If you wish, you can then conclude a new agreement for the new bike.
That may sound like a good idea. If the company bike can no longer be used because it has been stolen or damaged beyond repair, the user simply gets a new bike. However, depending on how long the lease has already existed, there may be financial drawbacks if you decide to take over the bike at the end of the lease term. The tax authorities assume a residual value of 40% (flat rate) of the new price after a lease period of 36 months. However, we at Bikeleasing-Service calculate a residual value of 10%. We as the company bike provider bear the tax on the monetary benefit arising from this difference. Employees pay a takeover price of 18%, based on the RRP, directly to us. If the bike is less than 36 months old, indemnity based on its new value would imply a higher assumed residual value and thus a greater monetary benefit, which means higher tax, exceeding our share. Consequently, company bike users would need to shoulder a larger share of the tax, resulting in less savings or even financial outlay greater than the original price of the bike or e-bike leased.
For this reason, we at Bikeleasing-Service have deliberately decided against indemnity based on the new value. In addition to tax advantages, this decision grants the company bike user greater flexibility because the dealership, bike model and accessories plus insurance options can be freely chosen.
In the event of theft or total loss, the Individual Lease Agreement is dissolved and you as an employee can decide whether you want to conclude a new agreement.
In case of an accident or crash-/fall-related damage to the company bike, our comfort insurance with its mobility guarantee takes effect. To process the damage as an insured event, we need a damage report before the repair. Company bike users can submit this report by phone (call 05571/3026-200) or via the Bikeleasing portal. Alternatively, the damage can be reported via the Bikeleasing dealer.

Bikeleasing company bike users can have their bike inspected within the framework of the Bikeleasing inspection package at any registered Bikeleasing dealership. 14 days prior to the inspection time window, the company bike user will receive a one-off voucher code by e-mail or via our portal. This code needs to be submitted to the dealership before the inspection is commissioned and before the inspection is performed so that the dealership can bill the inspection to Bikeleasing-Service.
“Orderly state” means that the company bike is returned in a condition that reflects its age and normal use. This means that the bike may have minor scratches or dirt, and a certain amount of wear and tear is acceptable. However, if the bike is damaged as a result of accidents or improper use, such as overloading, it is not considered to be in an “orderly state”. In this case, the employee shall bear the costs of restoring the bike to an orderly state.
In principle, the provisioning of the company bike for use cannot be terminated prematurely, even if you wish to order a new company bike. If the agreement is nevertheless to be terminated before the end of its term, this requires payment of a redemption amount and involves additional costs.
No, the insurance does not cover damage caused by incorrect assembly. Whether you choose an incompletely assembled bike as a company bike is your decision.
Im Schadensfall haben Sie als Arbeitnehmer zwei Möglichkeiten:
A) Sie nehmen Kontakt zum Onlinehändler auf und der Fall wird geprüft. In der Regel verweist der Onlinehändler Sie dann an einen mit ihm kooperierenden stationären Service-Partner. Wichtig: Dieser Service-Partner muss auch Bikeleasing-Partnerhändler sein.
B) Sollte es vor Ort einen anderen Bikeleasing-Partnerhändler geben, der sich dem Fall annimmt, kann der Schaden auch hier reguliert werden. Eine Rücksprache mit dem Onlinehändler ist dann nicht zwingend erforderlich.
Ungeachtet dieser Vorgehensweise muss vor der Reparatur des Fahrrads eine Schadensmeldung über das Bikeleasing-Portal erfolgen.
